Attendee check-in software that moves the queue.
Scan QR codes on phones and tablets. Let attendees check themselves in on iPad kiosks. Print a personalised badge the moment someone walks up. One app, one attendee list, online or offline. Whether you run a hundred people in a workshop or ten thousand at an expo, the workflow stays the same.

More than a scanner. A full registration desk in your pocket.
Event check-in software is the tool your team uses at the door. It looks up attendees against the registration list, marks them present, prints a badge if you want one, and lets them into sessions or restricted zones. It runs as an app on phones, tablets and self-service kiosks. Every scan writes to the same live attendee list, so headcounts, no-shows and walk-ins stay in sync across every entrance.
Eventify pulls QR scanning, self-service kiosk check-in, on-demand event badge printing, walk-in registration, session-level attendee tracking and offline mode into one app. The same workflow handles a small workshop and a 10,000-person expo. It plugs into your event registration software, the mobile event app attendees already have on their phone, and exhibitor lead capture once the badge is on.

How QR code event check-in works at the door.
The same four-step flow handles a quiet 8 am registration window and a 9 am rush of 800 arrivals. New to event planning? Start with our 11-step event planning guide.
Import the attendee list
Upload a CSV, sync from your event registration platform or use Eventify's built-in registration. Each attendee gets a unique QR code by email and inside the event app.
Scan or self-scan at the door
Staff scan QR codes on phones and tablets. Self-service iPad kiosks let attendees scan their own code or search by name and email.
Badge prints automatically
A personalised badge prints from a nearby Zebra, Brother or Epson direct-thermal printer in 3 to 5 seconds, with sponsor logos, QR code and ticket type.
Live dashboard updates
The arrival lands on the organiser dashboard in real time. Session check-in, exhibitor lead retrieval and post-event analytics all share the same attendance record.
Common event-entry problems, and how the software solves them.
Twenty-minute queue at the door, frustrated VIPs.
SolutionPut self-service kiosks next to your staffed scanners. Five iPads turn one desk into five parallel lanes. Most events clear the 9 am rush in under fifteen minutes.
Walk-ins jam the registration desk.
SolutionA dedicated walk-in mode lets staff register, assign a ticket type and print a badge in under a minute, without breaking the flow of pre-registered scans.
Wi-Fi drops, scanners stop, queue grows.
SolutionOffline mode caches the full attendee list on each device. Scans and badge prints continue without internet and sync automatically when connectivity returns.
No idea how many people actually attended each session.
SolutionSession-level check-in scans badges at room entrances, producing accurate session attendance for CPD credits, sponsor reporting and post-event analytics.
Volunteers see personal data they should not.
SolutionRole-based access controls what each person can see. Door staff just scan. Registration leads can edit details. Only event managers see the full attendee profile.
The CEO wants a live headcount at 10 am, you have spreadsheets.
SolutionEvery scan writes to one live attendee list with checked-in / not-checked-in segments, exportable to CSV or pushed straight into a sponsor or CRM report.
Everything the door team needs in one mobile event check-in app.
One app on phone, tablet and kiosk. One attendee list. No proprietary hardware required.
QR code scanning
Staff scan attendee QR codes on phones, tablets or laptops. Most check-ins land in 3 to 5 seconds with a confirmation flash on the device.
Self-service iPad kiosks
Set up as many iPad kiosks as you need. Attendees scan their own QR code or search by name and email. The badge prints automatically, so the door never bottlenecks on staff.
On-demand badge printing
Direct integration with Zebra, Brother and Epson direct-thermal printers. Badges print on scan with attendee name, company, role, ticket type and sponsor logos. See our guide to designing the perfect event badge and the badge printing software overview.
Walk-in registration
Add unapproved guests on the spot, assign a ticket type and print a badge in under a minute, without disrupting the rest of the flow.
Session-level check-in
Scan badges at room entrances to track session attendance for CPD credits, sponsor reporting and capacity control. Pairs with event attendee tracking software. For the methods and tools landscape, read our deep dive on conference attendee tracking.
Offline check-in mode
Attendee list caches on the device before doors open. Scans and badge prints continue if the venue Wi-Fi drops, then sync automatically when connectivity returns.
Multi-entrance and multi-event
Unlimited scanning stations across any number of doors, with one live attendee list. Run multiple conferences from one organiser dashboard.
Live arrival analytics
Real-time arrival curves, no-show segments and session attendance counts. Export to CSV or push to sponsor and CRM reports after the event.
Role-based staff access
Granular permissions for volunteers, registration staff, leads and event managers. Audit logs record every scan, edit and badge re-print.

Every scan, every entrance, on one live dashboard.
Watch arrivals roll in as they happen. Filter by ticket type, session or entrance. Drop into any attendee's record to re-print a badge, mark them checked out or pull their session attendance. Export the whole list to CSV in two clicks for sponsor reports and finance reconciliation.
See the dashboard liveWhat attendee check-in software actually changes on event day.
Per-attendee processing time
Scan, lookup, confirmation and badge print finish inside 3 to 5 seconds. That is fast enough to clear a 1,000-arrival hour without a queue building up.
Parallel lanes per registration desk
One staffed desk plus four self-service iPad kiosks effectively turns a single registration point into five parallel check-in lanes.
Lost scans when Wi-Fi drops
Offline mode keeps the door moving when the venue Wi-Fi flakes. Every scan saves to the device and syncs once the network is back. No lost data, no manual cleanup afterwards.
Setup to first scan
Upload the CSV, pick a badge template, sign your devices in. Most events go from zero to first scan in under an hour.
Live attendance visibility
Every arrival, walk-in and session check-in writes to one live attendee list. The organiser dashboard always reflects exactly who is in the room right now.
Source of truth for every team
Registration desk, session moderators, exhibitors and finance all read from the same attendee record. No more reconciling spreadsheets at midnight.
Conference check-in software, configured for every event type.

What to look for in attendee check-in software.
Use this six-point checklist when shortlisting an event registration scanning app.
Self-service kiosk mode
Without it, every spike in arrivals turns into a queue. Look for unlimited iPad kiosks at no per-device fee, with search-by-name and search-by-email fallbacks for attendees who lost their QR code.
True offline mode
Caches the full attendee list on the device, keeps scanning when Wi-Fi drops, and auto-syncs without manual exports. "Offline support" is not the same as a cached login screen.
Native badge printing integration
Direct support for the standard Zebra, Brother and Epson direct-thermal printers. Not a print-to-PDF workaround. Templates should cover attendee name, ticket type, QR code and sponsor logos.
Walk-in registration on the same device
Last-minute attendees should be registered, ticketed and badged from the same kiosk that handles pre-registered scans. They should not get pushed to a separate signup form.
Session-level attendance tracking
Door check-in is the start, not the end. The same badge should scan into individual sessions to feed CPD reports, sponsor analytics and capacity control.
Compliance and audit trail
ISO 27001, SOC 2 Type 2 and GDPR are the table stakes. On top of that, look for per-scan audit logs, role-based access and clean CSV exports for finance and compliance teams.
